REVENUEOS / PRIVACY

Privacy policy

How personal information may be used in RevenueOS, a business financial-control platform provided by HHnextGen. Last updated 26 October 2026.

Important: RevenueOS is an organisation-managed platform, not a consumer bank or payments service. A participating business normally determines what staff and operational information is recorded. The organisation’s own employee/privacy notices also apply.

1. Who is responsible for the information?

RevenueOS is a software service provided by HHnextGen. For financial and workforce-related records entered by a participating business, that business will usually act as the data controller and HHnextGen will process those records on its behalf under the relevant service arrangements. For our own support correspondence, product security and account administration, HHnextGen may act as a controller where applicable.

For privacy questions, contact privacy@hhnextgen.co.uk. To exercise rights over employer-managed records, you may also need to contact your organisation directly.

2. Information RevenueOS handles

  • Account and contact information, such as name, work email, assigned business, site and role.
  • Authentication, device/session and security information needed to access and protect the service.
  • Business financial records, such as daily revenue summaries, tenders, banking bags, cash counts, approvals, discrepancies and related notes.
  • Supporting evidence and uploads provided by authorised users, which can contain personal information.
  • Activity and audit logs, including who submitted, approved or changed an entry and when.
  • Messages and troubleshooting details voluntarily sent to our support team.

RevenueOS is not intended to collect personal banking credentials or unnecessary sensitive personal data. Avoid placing these in notes, uploads or support messages.

3. Why the information is processed

Information is used to provide the service, authenticate users, enforce organisation/site permissions, maintain financial recordkeeping workflows, generate reports, investigate errors, prevent misuse and handle support requests. The relevant organisation determines the legal basis for processing its business records, while HHnextGen relies on applicable bases for its own account, contractual, security and legal activities.

4. Access and sharing

Authorised users may see the records permitted by their assigned role, business and site. Information may be processed by hosting, authentication, storage and other technology providers supporting the service. Where an organisation configures an integration, the relevant connection and provider terms may also apply. We do not state that an integration is active merely because it is available for configuration.

We do not sell personal information to advertisers.

5. Storage, location and security

RevenueOS uses account authentication, scoped permissions and server-side controls for core finance workflows. No system can be guaranteed risk-free. Data processing locations and international transfer safeguards depend on the services and contractual arrangements actually in use; contact us for the details relevant to your organisation.

6. Retention and deletion

Account records, financial audit history, support correspondence and backups are retained for periods appropriate to the service, organisation instructions, security and legal obligations. Financial records may need to be preserved after an individual account is deactivated. Removal requests are assessed against those obligations; they do not necessarily result in immediate deletion of financial audit evidence or third-party records.

7. Your rights

Subject to UK data-protection law and the circumstances of processing, you may request access, correction, erasure, restriction, portability or objection. You may also raise a concern with the Information Commissioner’s Office (ICO). Where the organisation is the controller, we may refer your request to it or work with it to respond.

Send requests to privacy@hhnextgen.co.uk or read our data request guidance. Do not email identity documents unless we specifically request them through a secure method.

8. Cookies and similar technologies

The platform may use essential cookies or local device storage for sign-in, session operation, application settings and security. Any optional analytics or tracking requires assessment under applicable privacy and cookie rules. The presence of a support or product-information page does not imply marketing consent.

9. Children and public accounts

RevenueOS is intended for authorised workplace users. It does not provide open registration or a consumer account service and is not designed for use by children.

10. Changes and contact

This notice may be updated when the service, providers or legal requirements change. Material changes should be communicated as appropriate. Privacy: privacy@hhnextgen.co.uk. General support: support@hhnextgen.co.uk.
